Square KDS Leaves Pickup Orders on Ready: Add a Counter Handoff Step

With Automatic Order Update on, completing a ticket on the Square KDS Expo screen marks the order Ready, not Picked up. What Square's help articles confirm, why bulk-completing at close is risky, and a copyable handoff routine that keeps retail orders visible.

Quick answer: Square's help documentation says that when Automatic Order Update is on, an order's status updates to Ready once its tickets are completed on at least one Square KDS Expeditor (Expo) device, which matches what the cafe owner below saw. Picked up (the Completed list) is a separate action taken on the point of sale or in Square Dashboard. None of the five Square help articles below describes a setting that makes KDS completion close the order. That does not prove no such option exists, so ask Square Support. Until then, the practical fix is a counter handoff step.

This answers a question posted to the Square Seller Community on the evening of September 15, 2026 (US Eastern time). A cafe with website pickup, delivery and QR-code orders plus a retail side found that checking pickup orders off on the KDS left them at "ready for pick-up" on the register, and retail orders got lost among cafe orders. When read on September 23, 2026, the thread had only the poster's own bump. This answer is based on documentation; the steps were not tested on a live Square account.

"Food is done" and "guest has the food" are different events, and only the counter knows the second one happened.

Why not bulk-complete everything at close

Bulk "Mark as complete" clears the list quickly, but it completes every selected order, including one still sitting on the shelf. Square's customer-alert article says Square Online emails go out when an order is marked ready or shipped. Its text updates cover status changes "like Ready for Pickup, Order Shipped, etc.", a non-exhaustive list. In a November 2025 Square Community thread, a deli owner reported customers receiving "picked up" notifications when staff marked orders complete to clear the screen, possibly well before pickup. No Square staff reply confirmed or explained it. Treat it as a reported risk: complete an order only after the guest has it.

A counter handoff routine you can copy

  1. Tag every pickup bag. The ticket stays on the bag until handoff.
  2. At handoff: match the guest's name and order number to the bag and hand it over. Only then put the ticket on a "handed over" spike, and on the counter POS open ≡ More > Orders, tap the order, then Mark as… > Picked up.
  3. Curbside: with On-POS arrival alerts on, a guest who replies HERE to the ready text shows up as a POS notification. Bring the order out and follow step 2.
  4. Every lull: open Orders, choose Ready, and compare the list with the shelf and the spike. Gone from the shelf with its ticket spiked: ask whoever handed it over, then mark it picked up. Gone from the shelf with no spiked ticket: the status is unknown, so find out before marking anything.
  5. At close: mark picked up only orders confirmed by the spike and, where possible, by the staff member who handed them over, matching name and order number. An empty shelf spot alone does not show the guest got the order. Resolve every unknown before using bulk Mark as complete, and use bulk only for the confirmed group. A bag still on the shelf stays Ready; follow your own policy for contacting the guest and for held food. Never complete an order just to clean up the screen.

The spike is a handoff log, not conclusive proof: a ticket can be spiked by mistake or go missing. Alongside staff confirmation, it helps the closer reconcile the Ready list after a busy hour.

This routine is for guests collecting their own orders. Square's Ready list also covers orders awaiting shipment carriers, and delivery orders may come from third-party partners. Complete those only at the handoff your delivery setup uses, such as a courier actually collecting it; the pickup spike is not proof of delivery.

Keeping retail orders visible

Square's order manager filters by order type, status, source and payment source. Set the counter screen to Status: Ready and check whether retail orders arrive with a different order type or source from cafe orders. If they share the same website and pickup type, filters may not separate them; then the handoff routine is what keeps the Ready list short enough for a retail order to stand out.

A fictional example

Juniper Street Cafe & Market (invented for this answer) takes 64 cafe pickup orders and 9 retail pickups on a Saturday. Without a handoff step, the 4 p.m. Ready list holds dozens of cafe orders that left hours ago, burying an 11 a.m. retail order. With the routine, it shows only what is waiting: say 3 cafe bags and 2 retail orders. At close, one cafe bag is still on the shelf, so it stays Ready. Two spiked tickets nobody tapped are confirmed by the counter staffer and marked picked up. One Ready order has no bag and no spiked ticket, so the closer checks with the team before touching it. This is an illustration of the routine, not a record of a real store or a POS test.

Check your own setup

  • Ask Square Support two questions: can KDS Expo completion set pickup orders to Completed on your account, and which customer notifications are sent when an order is marked Picked up or Complete?
  • Test carefully: use your business's approved test procedure if it has one. Tell the counter and kitchen first so nobody makes or hands out food for it, use your own phone and email, and watch for printed or KDS tickets and a real payment. Move it through Ready and Picked up; note what arrives. If a real payment is taken, unwind it only through your own void or refund procedure; processing fees are not necessarily returned.
  • Plan requirements: Square says the KDS is not available on Square Free, and order-ready texts and some text alerts also depend on your plan.
