Toast Tables Shows No Reservation Times? Check the Online Booking Window
Empty tables but no times online? Check the minimum lead time and maximum days ahead on the shift the guest is booking, before you change capacity or open dates you aren't ready for.

Quick answer: If guests can't find a time in Toast Tables while you know the tables are open, check the booking window before you touch capacity. The Online access settings control two separate limits: the minimum time before a reservation that a guest can book, and the maximum number of days in advance they can book. A slot that is too soon or too far out doesn't appear, however empty the room is. Toast's troubleshooting article says reports of "no times available within 2.5 hours" or "can't book within 2.5 hours" are almost always caused by the minimum advance setting. That 2.5 hours comes from the reports. It is not a Toast rule or a recommended setting.
The detail that's easy to miss: Toast sets Online access per shift, not per day. Dinner can have a different window from lunch on the same date, so check the shift the guest is actually trying to book.
This is a workflow guide built from two Toast support articles as they read on October 20, 2026. It is not news, and we didn't run any of it on a live Toast account. Toast says the troubleshooting steps apply to Toast Tables and Toast Tables Plus in Toast Web, and that viewing or changing these settings takes the 4.7 Configure Booking permission.
Two limits, two different symptoms
The two settings cut off opposite ends of the calendar, so the slot the guest wanted tells you which one to read first.
- Too soon: minimum time before a reservation. A guest looking at tonight sees nothing until some hours from now, even with the dining room empty. That is your notice period working, not a sold-out room.
- Too far: maximum days in advance. A guest looking at opening night, or a holiday weeks away, sees nothing for that date because it isn't open for booking yet. Adding tables or covers won't change that.
Neither Toast article gives a default for either setting, a recommended number, or exactly how the edge of the window is counted: which time zone, whether the last day is included, or when a new day opens up. So don't try to work out to the hour whether a borderline slot should show. Read the settings, compare them with the slot, and check what the guest page actually shows.
Find the shift, not just the schedule
Toast's troubleshooting steps for this cause read: Waitlist & Reservations > Schedules, select the schedule the guest is trying to book, then Online access. Toast's Schedules article adds the part that matters: "Online access is set at the shift level." Its example is allowing online reservations for Thanksgiving lunch but not Thanksgiving dinner, or letting guests book that date farther in advance than your usual reservations.
- Which schedule covers the date? Toast uses the default schedule whenever no other schedule is active, and a Special Date schedule overrides it. On the Overview calendar, red marks a special date and blue marks a date where at least one booking type is blocked.
- Which shift covers the time? Toast says online reservations only appear for times inside a configured shift on an active schedule.
- What does that shift's Online access say? Toast says shift settings are edited in the Schedules tab after you select the schedule. Neither article lists every click from a schedule to one shift's Online access, so follow your own screen. If it doesn't match, use Toast's help instead of guessing.
Toast also lets you copy settings from an existing shift. Don't use that to fix one service by making every shift match unless they really should run the same way. And if you see a warning badge on a shift, start there: Toast says it now checks the Schedules and Experiences pages for common setup issues that could silently prevent bookings.
Check one slot, in this order
Pick one date, time and party size that a guest couldn't book. Work down the list and stop at the first step that explains it.
- Should this slot be bookable online at all? If the service isn't ready, the date isn't confirmed or you're only seating invited guests, missing times are correct. Leave them. Don't add a shift or lift a block just to make the page show something.
- Check both switches. Enable Reservations Globally is under Waitlist & Reservations > Settings > Reservations > Reservation controls. Online reservations is in that schedule's Online access. If either is off on purpose, stop.
- Check the date. Look for a special date or booking block on the Overview calendar. If a block is intentional, stop. If a special date applies, do the remaining checks on that schedule, not the default.
- Check the shift. Confirm a shift on that schedule covers the time, and note which one it is.
- Read that shift's window. In its Online access, note the minimum time before a reservation and the maximum days in advance. Is the slot clearly too soon or clearly too far out?
- Decide whether the limit is a mistake. A notice period can give the kitchen time to plan; a short window can keep opening week off the books until you're sure of the date. If the limit is intended, keep it and stop. If it isn't, an owner or manager with 4.7 Configure Booking changes that one setting, on that shift only, and saves.
- Look at the guest page. Don't book. Open your online reservation link (Toast's FAQ says to copy it from Reservation controls) and search the same date, time and party size. Look at which times appear, then close it. Don't submit a reservation to test: it puts a booking in the book that someone has to cancel, and Toast's Schedules article says deposits, prepayments and cancellation fees can be set on schedules.
Check Toast's own reservation page first, not the Reserve with Google button. Toast says Google can take 24 to 48 hours to pick up configuration changes.
If the window allows the slot and times still don't show
Stop changing the window. Widening it again, or raising capacity until something appears, can put times on sale that you never meant to offer. Toast's troubleshooting article lists other conditions that hide times on their own:
- Table availability. A dining area set to 0% is left out of online reservation inventory. Toast's Schedules article also lets you mark tables In-house only or Walk-in only, and neither kind is visible for online reservations.
- Party size. If no table or combo table seats the party, that party sees no times. A minimum party size for online reservations does the same for smaller parties.
- Flow control. Max covers caps how many guests can book each reservation increment. Toast's example: with 15-minute increments and max covers of 2, no party of more than two can book the same 15-minute slot, even if the dining room is empty.
Work through those one at a time in Toast's troubleshooting article, and change a setting only when it is wrong for the way you plan to run that service.
A fictional opening-week example
This example is made up. It walks the checks above for one restaurant. It is not a test we ran, and the setting values are invented, not suggestions.
TOAST TABLES: ONE SLOT SHOWS NO ONLINE TIMES
Fictional. Written from Toast's help articles
(updated Sep 16 and Sep 22, 2026), not a live
test. If your screen differs, use Toast's help.
APPLIES TO: Toast Tables or Tables Plus online
reservations, checked in Toast Web by someone
with 4.7 Configure Booking. Not the waitlist.
SETUP (made up): Juniper Table opens in about
four weeks. Default schedule: Lunch, Dinner.
Special-date schedule "Opening Week": its own
Lunch and Dinner shifts.
SLOT 1: opening Friday, 7:00 PM, party of 4.
No times on the guest page.
1. Online bookings wanted for opening week?
Owner says yes. (No or unsure: STOP.)
2. Global and schedule switches: both on.
3. Overview calendar: red special date, no
blue block. Use "Opening Week", not the
default schedule.
4. 7:00 PM is in Opening Week > Dinner.
5. Opening Week > Dinner > Online access:
minimum before reservation: 3 hours
maximum days in advance: 14 days
Four weeks out is well past 14 days.
6. Holding opening week back on purpose?
Then STOP and leave it. Here the owner
wants it open now: raise max days on
Opening Week > Dinner only. Lunch and
the default schedule stay as they are.
Toast's help doesn't say how the last
day is counted; confirm on the guest page.
7. Guest page, same date, time, party of 4.
Look only. Nothing submitted.
SLOT 2: after opening, Tuesday, 4:30 PM. A
guest can't see 6:00 PM for 2. Default >
Dinner minimum is 3 hours; 6:00 is 90 minutes
away. That's the notice period, not a full
room. The manager keeps it. No change.
STOP RULE: if the window already allows the
slot and times are still missing, don't widen
it or raise capacity. Check table
availability, tables and combos for the party
size, minimum party size and flow control in
Toast's troubleshooting article.
Before opening night
Decide when opening-week times should go live, then set the window on those shifts to match. Your website's Reserve button should lead to a page that shows times for the services you are actually ready to run; our first restaurant website guide covers what that page needs. If you're still working out how many guests your first services can take, settle that first with the soft opening checklist. The booking window controls when guests can book, not how many you can handle.
This guide doesn't cover the online waitlist, which has its own settings in the same Toast article; for a waitlist party that vanished, see Toast Tables waitlist marked Done. Deposits, prepayments, cancellation fees and Experiences aren't covered either. More guides like this are in the Technology section.
