Toast Won’t Combine Checks Offline: What Changed in POS 2.118

Since Toast POS 2.118, an offline device won't let you pick checks to combine and shows "Checks cannot be combined while offline." Why Toast changed it, what not to try, and a copyable note for the manager.

Ryan Speier

Quick answer: it's a deliberate change, not a glitch. In an announcement dated October 16, 2026, Toast says you can no longer combine checks on the Toast POS app while that device is offline. Before, you could combine checks that had no payments on them while offline, and Toast says that could cause check data errors when the device reconnected. Now the check list on the combine screen is disabled and the device shows Checks cannot be combined while offline. Toast says combining works as usual once the device is back online.

So don't try to get around it. Leave both checks open and separate on the device they're on, confirm that device is really offline, and tell the guests why you can't combine them yet. Write down what's on each check, item by item, while you wait. When the device reconnects, compare both checks with that list before you combine them. If anything doesn't match, or there's no list to compare against, stop and get the manager.

Toast lists the change as first available in Toast POS version 2.118, in the U.S., Canada and the U.K. The announcement doesn't say when every restaurant's devices get 2.118. We wrote this from Toast's announcement and its support and platform documentation as they read on October 18, 2026. We didn't test any of it on a Toast device.

What "combine" means here

Toast has several ways to move items and money between checks, and they are different features. The October 16 change is about one of them.

OperationWhat Toast documentsCovered by the offline block?
Combine checks (Payment Terminal, three-dot menu, Combine checks)Merges two or more checks into one. Only checks in Open status with no payment applied. The first check you select is the destination. Toast says any tip on the combined check is attributed to the new server.Yes. This is the screen that's disabled while the device is offline.
Split a check by item, evenly or by seatSeparates one check into several. Covered in Toast's "Split Checks on the POS" article. The announcement doesn't mention it. It's not a way around the block, and this post doesn't cover how it behaves offline.
Pay one check with more than one paymentPartial amounts and split-evenly payments on a single check. Not mentioned. Paying offline is a separate question, covered in Toast's offline card payment documentation, not here.
Drag an order to another table (Table Service mode)Toast says this merges the checks onto one order but keeps them as separate checks. Not mentioned. Don't treat it as an offline workaround.
Move items to another checkToast's article lists this for Australia, Canada, Ireland and the U.K. only. Not mentioned. Its own country list is different and doesn't change where the October 16 change applies.

If guests just want one check later and nobody is paying yet, nothing is lost by waiting. That's the case this post is built around.

Is it the device or the whole restaurant?

Offline in Toast is per device. Toast's offline overview says one device can be offline while others are online, and gives the example of a handheld carried out of Wi-Fi range. The offline limits apply only to that device. Toast also says that when a single device is offline and everything else on the network is online, the problem is that device rather than a wider disruption.

  • Look for the offline banner. Toast says it appears on the POS app after 40 seconds offline and tells you the cause, what you can and can't do, and how to fix it.
  • Your phone's Wi-Fi working proves nothing about the Toast device. Neither does the bar terminal being online.
  • Don't count on another terminal seeing the checks. Toast's pages for both offline modes say orders on one POS device don't show up on other POS devices while offline (KDS screens are the exception with local sync). The overview describes a local hub passing new orders between devices during an internet outage, so the pages aren't fully consistent. Plan as if the other terminal can't see them. Keep working those checks on the device they're on. Don't ring them in again on a terminal that happens to be online.
  • Don't touch the app or the device to "fix" it. Toast's offline pages say not to log out, clear the app's data or cache, or uninstall and reinstall the app, and the local sync page adds not to force-close it. Clearing data or reinstalling can permanently remove stored data and payments from the device.
  • Don't restart the router to clear this message. It isn't a fix for the combine block, and Toast's pages disagree here. The offline mode pages say not to restart the router while offline: the Offline mode page warns devices can't print offline until the connection is back, and the local sync page says POS tickets won't reach the KDS until the local network is back. The overview lists a router restart as a troubleshooting step but warns that in offline mode it can stop backup printing and should be done last. The manager should check which guidance fits your setup or call Toast support before anyone restarts it.

What to do, by what you see

What you seeWhat it meansWhat to do
On the combine screen the checks can't be selected, the screen says "Checks cannot be combined while offline," and the device shows the offline bannerThe device is offline and Toast is blocking the combine, as documentedLeave both checks open and separate. Fill in the manager note below: check numbers, each item and quantity, totals and the time. Write down anything added or removed after that. Tell the guests and the manager. Wait for the device to reconnect.
The message appears but you don't see an offline bannerUnclear. The banner can take 40 seconds to show up, or something else is going on.Wait a minute and look again. If you still can't tell, stop and get the manager. Don't keep retrying.
Another terminal is onlineThat terminal's status says nothing about the device holding the checksDon't re-ring or move anything to it. Wait for the original device.
The banner is gone and the device is back onlineToast says combining works as usualCompare each check with the note, line by line: same items, same quantities, same total, still Open with no payment? Only then combine the normal way. A matching total alone doesn't count.
After reconnecting, a check is missing or doubled, an item, quantity or total changed, a payment shows, or nobody wrote down what was on the checksSomething doesn't match, or you can't confirm that it doesStop. Don't combine, void, delete or re-ring. The manager decides the next step or calls Toast support.

What never helps: deleting a check and ringing the items again on one check, voiding to start over, or charging a card twice to "fix" it later. Each one changes the records you'll need to check when the device reconnects.

If your device still lets you combine checks while it's offline, because it's on an older version or you're outside the three countries, Toast's own reason for the change is a good reason to wait until it's online anyway. That's our reading of the announcement, not a Toast instruction.

A fictional Saturday on the patio

This example is made up. The restaurant, devices, check numbers and prices are invented, and the arithmetic is ours.

  • 8:05 PM. At a fictional restaurant, Corner Lot Kitchen, a server is running the far end of the patio on Handheld 2. Table 12 is two couples on two checks: check 214 (two entrées at $24.00 each and a $38.50 bottle of wine, $86.50 before tax) and check 215 (entrées at $28.00 and $22.00 and a $12.00 appetizer, $62.00 before tax). Neither check has a payment on it.
  • 8:20 PM. One guest says they'll get the whole table and asks for one check. The server opens the combine screen on Handheld 2. The checks can't be selected and the screen says "Checks cannot be combined while offline." The offline banner is up. The bar terminal inside is online.
  • 8:21 PM. The server doesn't re-ring anything on the bar terminal. They tell the table: "My handheld has lost its connection, so I can't put these together yet. I'll do it once it's back." They fill in the note below, listing each check's items and quantities from the screen, and give it to the manager.
  • 8:34 PM. The server walks back inside to fire desserts and the banner disappears. They compare both checks with the note line by line: 214 still shows two $24.00 entrées and the wine, $86.50; 215 still shows the $28.00 and $22.00 entrées and the appetizer, $62.00; both Open, no payments. Nothing was added in between. That matches the note. They combine the normal way, selecting 214 first so it's the destination. The combined check should show $148.50 before tax ($86.50 + $62.00), and it does.
  • What would have stopped them. If 215 had shown $50.00 because the appetizer was missing, or still $62.00 but with a different $28.00 entrée than the note lists, or either check had shown a payment, the server would not combine. They'd hand it to the manager with the note.
  • Next day. The manager has someone look at Wi-Fi coverage at the far end of the patio, since that's where the handheld dropped off.

Two things to check after any combine. Toast's Combine Checks article says a pre-authorized card on an original check doesn't carry over, so you run a new payment method on the combined check. It doesn't say how discounts or service charges carry over, so look at the combined check before you present it.

Manager handoff note

Copy this into your outage procedure or print it for the floor. It keeps its own limits, so it still works on its own. Use check numbers only. No guest names, phone numbers or card details.

TOAST: "CHECKS CANNOT BE COMBINED WHILE OFFLINE" - MANAGER NOTE
Toast says this starts with POS version 2.118 in the U.S., Canada
and U.K. (announcement dated Oct 16, 2026). Older version or another
country? Toast's notice doesn't cover it. Our advice: still don't
combine checks on a device while it's offline.

Device: ______________ (the name or number your team uses)
Offline banner showing? YES / NO / NOT SURE Time noticed: ______
Server: ____________ Manager told: ____________ at ______

CHECKS AS THEY ARE NOW (check numbers and items only, no guest
names or card details). Copy every item and quantity from the
screen when you write this note. Add lines if you need them.
Check #______ Total on screen: ______ Open, no payment? Y / N
  Qty ___ Item ________________________________
  Qty ___ Item ________________________________
  Qty ___ Item ________________________________
Check #______ Total on screen: ______ Open, no payment? Y / N
  Qty ___ Item ________________________________
  Qty ___ Item ________________________________
  Qty ___ Item ________________________________

CHANGES AFTER THIS NOTE (same device, before it's back online)
  Time _____ Check #_____ Added/removed Qty ___ Item __________
  Time _____ Check #_____ Added/removed Qty ___ Item __________

WHILE THE DEVICE IS OFFLINE
- Leave both checks open and separate. No deleting, voiding,
re-ringing or charging a card to get around the message.
- Keep working these checks on THIS device. Another terminal
being online doesn't mean it can see them. Write every item
added or removed under CHANGES before you move on.
- Don't log out, force-close, clear data or reinstall the app.
- Don't restart the router to clear this message. Toast's pages
conflict: the offline pages say not to while offline, and the
overview lists it as a last step. Toast warns a restart can
stop offline printing or keep POS tickets off the KDS until the
connection is back. Before anyone restarts it, the manager
checks Toast's guidance for your setup or calls Toast support.

WHEN THE BANNER IS GONE (DEVICE BACK ONLINE)
- Compare each check on screen with the items above plus CHANGES,
line by line: same items, same quantities, same total, still
Open with no payment? Only if every line matches, combine the
normal way. The first check you select is the destination.
A matching total alone doesn't count.
- Then look at the combined check: total, discounts, service
charges. Pre-authorized card? Toast says run a new payment.

STOP AND GET THE MANAGER IF
- you can't tell whether the device is offline
- the item list is blank, incomplete or unreadable, or a change
wasn't written down, so you can't compare line by line
- a check is missing or doubled, or any item, quantity or total
differs from this note, even if the total still matches
- either check shows a payment
- the guest wants to pay before the device is back online
The manager decides the next step or calls Toast support.

Put it in your outage plan before you open

If you're setting up Toast for a new restaurant, add one line to your outage procedure: an offline device doesn't combine checks, so the server leaves them separate, writes the note and waits. Walk servers and managers through the note during your soft opening, along with the other outage questions in choosing a POS by total cost.

Toast's announcement suggests verifying the change by putting a device offline, for example by turning off its Wi-Fi, and trying the combine screen. Only do that if the owner or manager approves it, on a training setup, outside service hours, with no real open checks and no pending payments on that device. If you can't meet all of that, skip it and rely on Toast's documentation or Toast support. Never turn off Wi-Fi on a device during service to see what happens. Toast's local sync guidance says not to take a POS device off the local network during an outage because it can't share data until it reconnects.

A rehearsal like that tells you what one device on one version showed that day. It doesn't prove how real checks reconcile after an actual outage, or that every device in the building has 2.118.

What this post doesn't cover

  • Taking card payments while offline. Toast documents that separately; its offline pages link to it.
  • How splitting or moving items behaves offline.
  • Checks that were combined offline before your devices had 2.118. If you think one of those came out wrong, ask Toast support.
  • Square. If you run Square, its offline rules are different. See Square offline payments in a restaurant outage.
